Pop-Comm

Keeping your team informed is critical, especially when introducing new procedures, sharing important announcements, or communicating urgent firm-wide updates.

Written by Mariska

The Pop-Comm feature allows administrators and managers to send messages directly to all users within DataGrows. Unlike emails that can be overlooked or delayed, Pop-Comms require users to acknowledge the message before continuing to use the system.

The goal is simple: ensure important messages are seen and acknowledged by the entire team.

Why Use Pop-Comms?

Important internal communications are often missed when they are sent via:

  • Email

  • Teams or WhatsApp messages

  • Internal memos

  • Notice boards

Pop-Comms solve this by displaying a mandatory notification when users log in to DataGrows.

Benefits include:

✅ Firm-wide announcements

✅ Process changes

✅ Training reminders

✅ Compliance updates

✅ System maintenance notices

✅ Policy changes

✅ Critical deadlines

✅ Confirmation tracking

How Pop-Comms Work

Once a Pop-Comm has been created:

  1. The message becomes active on the selected date.

  2. Users see the message the next time they log in.

  3. The message remains visible until the user clicks Confirm.

  4. Administrators can see who has acknowledged the communication.

This ensures that important information is distributed consistently across the firm.

Creating a Pop-Comm

Navigate to:

Communication → Pop-Comm

To create a new message:

  1. Click Add Record.

  2. Enter the message you wish to communicate.

  3. Select a Show After Date.

  4. Save the record.

The communication will automatically display to users after the selected date.

Choosing the Right Show After Date

The Show After Date controls when the communication becomes active.

Examples include:

Future Announcement

Schedule a reminder about an upcoming process change.

Training Reminder

Notify staff about webinar attendance or Academy deadlines.

Compliance Update

Communicate changes to tax, payroll, audit, or firm procedures.

System Notifications

Announce maintenance windows or new DataGrows features.

What Users See

When a user logs in after the Show After Date:

✅ The message displays automatically

✅ The user must acknowledge it

✅ The message remains visible until confirmed

This helps prevent important communications from being missed.

Tracking Confirmations

One of the most useful features of Pop-Comm is the ability to track who has acknowledged the communication.

To view confirmations:

  1. Open the Pop-Comm record.

  2. Navigate to:

Pop-Comm Confirmations

A list will display showing which users have clicked Confirm.

Why Confirmation Tracking Matters

Confirmation tracking helps managers ensure that:

✅ Staff have received important instructions

✅ New processes have been communicated

✅ Policy updates have been acknowledged

✅ Training announcements have been seen

✅ Compliance notices have reached the entire team

This creates accountability and reduces communication gaps.
