Leave Tracker

Managing staff leave effectively is critical for workload planning and ensuring deadlines do not fall through the cracks when team members are unavailable.

Written by Mariska

The Leave Tracker allows firms to record planned and unplanned leave, giving managers visibility into staff availability and helping teams understand why tasks may not be progressing.

The goal is simple: make staff availability visible across the firm and improve planning during periods of leave.

Why Use the Leave Tracker?

When leave is not recorded centrally, firms often encounter:

  • Missed deadlines

  • Work assigned to unavailable staff

  • Poor workload planning

  • Delays in reviews and approvals

  • Resource bottlenecks

The Leave Tracker helps firms:

✅ Track employee leave

✅ Improve resource planning

✅ Provide visibility to managers

✅ Highlight unavailable team members

✅ Support better workload allocation

✅ Reduce surprises during busy periods

Accessing the Leave Tracker

Navigate to:

Time Management → Leave Tracker

This table provides a central location for recording and reviewing staff leave.

Capturing Leave

To add leave for a team member:

  1. Open the Leave Tracker table.

  2. Click Add Record.

  3. Complete the following information:

    • Accountant/User

    • Leave Type

    • From Date

    • To Date

    • Status

  4. Click Save & New or Save & Close.

The leave record is now captured and visible to the team.

Leave Types

The Leave Tracker can be used for various types of leave, including:

✅ Annual Leave

✅ Sick Leave

✅ Study Leave

✅ Family Responsibility Leave

✅ Maternity Leave

✅ Unpaid Leave

✅ Other Internal Leave Categories

Your firm can use the leave types that best align with its HR processes.

Impact on All Tasks Due

One of the most useful features of the Leave Tracker is its integration with:

All Tasks Due

When a user is on leave:

✅ Tasks assigned to them remain visible

✅ Team members can see that leave has been recorded

✅ Managers can identify potential workload issues

✅ Resource planning becomes easier

Leave Visibility

During the leave period:

The team member's name will appear in pink within the All Tasks Due table for tasks assigned to them.

This provides a visual indication that the user is currently unavailable.

Managers can then decide whether:

  • Work should remain assigned

  • Deadlines should be adjusted

  • Tasks should be reassigned temporarily

Supporting Resource Planning

The Leave Tracker works best when leave is captured as early as possible.

This helps firms:

✅ Plan around study leave

✅ Anticipate holiday periods

✅ Manage month-end workloads

✅ Balance team capacity

✅ Avoid review bottlenecks

For example, if a manager responsible for reviews is on leave, work can be redistributed before the absence begins.

Best Practices

Record Leave Early

Capture leave as soon as it is approved to improve planning.

Review Upcoming Leave Regularly

Managers should check upcoming leave before major deadlines and filing periods.

Use Leave Information During Task Allocation

Consider staff availability when assigning new work.

Monitor All Tasks Due

Review tasks assigned to staff on leave and determine whether action is required.

Keep Leave Records Updated

If leave dates change, update the record promptly to maintain accuracy.
