A Typical Day’s Workflow in DataGrows

Using All Tasks Due Detail & Working on Tasks

Written by Mariska

The All Tasks Due Detail table is one of the most important screens in DataGrows. Think of it as your daily command centre—a summary view of all outstanding work across your client portfolio.

By starting and ending your day here, you can stay on top of deadlines, track progress, collaborate with your team, and ensure that all billable work is properly recorded.

What is the All Tasks Due Detail Table?

The All Tasks Due Detail table provides a summary view of every outstanding task within your DataGrows environment.

It is designed to give you a high-level overview without overwhelming you with detail.

From this table, you can quickly see:

  • Client Name

  • Task Name

  • Due Date

  • Period

  • Status

  • Progress Level

  • Assigned Staff

  • Notes

You will only see tasks that you have permission to view based on your user access rights.

Think of this table as your daily work queue. It helps you identify what requires attention, what is overdue, and what needs to move forward next.

Understanding Task Colours

DataGrows uses colour coding to help you prioritise work at a glance.

Green Tasks – Backlog

These tasks form part of your backlog and require attention.

Red Tasks – Overdue

These tasks have passed their due date and should be prioritised immediately.

Orange Tasks – Client Delayed

These tasks are delayed because client information or documentation is still outstanding.

Yellow Tasks – Due Soon

These tasks are due within the next seven days and should be planned for accordingly.

No Colour

These tasks are not yet due but remain visible for future planning.

Best Practice: Focus on overdue and upcoming tasks first before moving on to later-dated work.

Personalising Your Task List

Most users work from customised filters.

For example, if you're an accountant, you may only want to see tasks assigned to you.

By creating and saving filters, you can instantly access:

  • My Tasks

  • My Overdue Tasks

  • Tasks Due This Week

  • My Review Items

  • Team Member Workloads

This allows each user to maintain a personalised view of their responsibilities.

Team Collaboration

There may be occasions when a colleague is unavailable or on leave.

In these situations, team members can quickly review another user's workload and assist with urgent work that needs to be completed.

This makes workload management and teamwork significantly easier.

Using the Weekly To-Do Report

Every table in DataGrows includes a Reports menu.

One of the most useful reports available from the All Tasks Due Detail table is:

To-Do List – Next 30 Days

This report provides:

  • A summary of tasks due in the next 30 days

  • Workload visibility across team members

  • Detailed client and task information

The report is automatically emailed to users every Monday, but it can also be generated at any time.

Why This Report is Valuable

Managers can use it to:

  • Monitor team workloads

  • Identify capacity issues

  • Review upcoming deadlines

Team members can use it to:

  • Plan their week

  • Prioritise work

  • Track upcoming commitments

Opening and Updating Tasks

The All Tasks Due Detail table is also your gateway into detailed task records.

To open a task:

  1. Click on the task link.

  2. The detailed task will open.

  3. Update the task as required.

Alternatively:

  • Right-click the task link.

  • Select Open in New Tab.

This allows you to keep your All Tasks Due Detail table open while working through multiple tasks.

Recommended: Keep your All Tasks Due Detail table open throughout the day and use new tabs for individual tasks.

Recording Notes on a Task

As work progresses, update task notes regularly.

Examples include:

  • Client called and requested extension.

  • Waiting for bank statements.

  • Journals still outstanding.

  • Financials sent for review.

  • Additional information requested from client.

These notes provide visibility for other team members and managers.

Example

Instead of simply marking a task as in progress, add context such as:

"Bank reconciliation completed. Awaiting final journals from the client before finalising management accounts."

This makes handovers and reviews much easier.

Understanding the Structure of a Task

Every task contains several key sections.

Summary Section

At the top of the task, you'll see:

  • Client Name

  • Task Period

  • Due Date

  • Status

  • Progress Level

  • Notes

  • Assigned Team Members

This provides a quick overview of the current state of the task.

Common Statuses

Not Started

  • Work has not yet begun.

In Progress

  • Work is currently underway.

Completed

  • Work has been finalised.

Details Section

The Details section is where the actual work management takes place.

This area contains:

  • Progress notes

  • Workflow checklists

  • Completion toggles

  • Supporting information

Many users refer to these checklists as their "parking lights" because they help indicate exactly where work has reached.

For example:

✅ Bank reconciliation completed
✅ VAT calculation completed
✅ Documentation received
⬜ Awaiting manager review

These indicators make it easy to pause and resume work without losing track of progress.

Always Start the Timer

One of the most important habits to develop in DataGrows is starting the timer when you begin work on a task.

When opening a task:

  1. Start the timer.

  2. Update the status to In Progress.

  3. Complete your work.

  4. Add notes.

  5. Save the task.

  6. Stop the timer.

This ensures:

  • Accurate time recording

  • Better client profitability tracking

  • Improved billing accuracy

  • Visibility into staff utilisation

Best Practice: If you're working on a task, the timer should be running.

Using Progress Levels

Many task types include Progress Levels to support review and workflow management.

Example Workflow

An accountant might:

  1. Start the task.

  2. Perform the required work.

  3. Update the status to In Progress.

  4. Add a note such as:

    • Please review.

  5. Save the task.

The manager can then filter for:

  • Tasks assigned to them

  • Progress Level = Please Review

This creates a simple and effective review workflow.

Tax Tasks and Workflow Progression

Tax-related tasks often include additional progress levels beyond the standard statuses.

Examples may include:

  • Calculation Completed

  • Submitted to Client

  • Submitted to SARS

  • Awaiting SARS Outcome

  • SARS Escalation

  • Finalised

These additional workflow stages provide better visibility into the progress of more complex compliance processes.

Example

A provisional tax return may move through the following stages:

Not Started → In Progress → Calculated → Submitted → SARS Escalation → Completed

These workflow indicators can be filtered and reported on throughout the system.

Returning to Your Task List

After updating a task:

  1. Save the task.

  2. Stop your timer.

  3. Click the breadcrumb navigation at the top of the screen.

You will return directly to your All Tasks Due Detail table.

Any updates made to the task will immediately appear in the summary view, allowing you to see progress at a glance.

Detailed Task Tables vs All Tasks Due Detail

It's important to understand the difference between these two views.

All Tasks Due Detail

Provides summary information such as:

  • Client Name

  • Task Name

  • Due Date

  • Status

  • Progress

  • Notes

  • Assigned Users

This is your planning and management view.

Detailed Task Tables

Department-specific task tables contain much more detail.

For example:

VAT Tasks

May include:

  • Return Prepared

  • Supporting Documents Received

  • Client Approval Obtained

  • Submitted to SARS

Accounting Tasks

May include:

  • Bank Reconciliation Completed

  • Debtors Reviewed

  • Journals Posted

  • Management Accounts Prepared

These detailed workflow columns help users track exactly where work stands.
