Customising Your View in DataGrows

Tailor your dashboard to suit your workflow, hide and rearrange columns to show relevant tasks, clients, and deadlines.

Written by Mariska

One of the most powerful features in DataGrows is the ability to customise your workspace to suit the way you work. Whether you want to see more records, focus on specific information, or reorganise your screen layout, DataGrows gives you complete control over how your tables are displayed.

This guide will walk you through the various ways you can personalise your view for maximum efficiency.

Customising Visible Columns

Every table allows you to choose which columns are displayed.

To customise your columns:

  1. Open the table you want to work in.

  2. Click the Columns option.

  3. Select or deselect the columns you wish to display.

You also have the option to:

  • Show All Columns – this temporarily shows hidden columns

  • Hide All Columns – this re-hides hidden columns

  • Reset to Default View

This is especially useful when you only want to focus on a specific set of information and reduce screen clutter.

Example

If you're reviewing client contact details, you may choose to display only:

  • Client Name

  • Trading Name

  • Contact Person

  • Email Address

  • Phone Number

By hiding unrelated fields, you can work more efficiently and reduce distractions.

Best Practice: Show only the columns you need for the task at hand. Fewer columns often lead to faster navigation and easier data review.

Adjusting Table Density

DataGrows allows you to change how much information is displayed on your screen by selecting different density settings.

Available options include:

Comfortable View

Provides more spacing between records, making information easier to read.

Best suited for:

  • New users

  • Detailed data review

  • Larger monitors

Standard View

Balances readability and efficiency.

This is the default view for most users.

Compact View

Displays more records on the screen at once by reducing spacing.

Best suited for:

  • Power users

  • Managing large volumes of data

  • Quickly scanning records

Example

If you're processing hundreds of tasks, switching to Compact View allows you to see significantly more records without scrolling.

Tip: Users who work primarily with task lists often prefer Compact View, while users reviewing detailed client information may find Comfortable View easier to work with.

Pinning Important Columns

Sometimes there are columns you need to keep visible while scrolling across a table.

DataGrows allows you to pin columns to either the left or right side of your screen.

How to Pin a Column

  1. Open the column menu.

  2. Select:

    • Pin Left

    • Pin Right

The selected column will remain visible while you scroll through other columns.

Example

You may want to pin:

  • Client Name

  • Trading Name

  • Task Status

  • Assigned User

This ensures that key identifying information remains visible while reviewing large datasets.

Removing a Pin

Once you've finished working with the column, simply choose:

  • Unpin Column

Alternatively, leave it pinned permanently if it supports your daily workflow.

Best Practice: Keep your most important identifying fields pinned to avoid losing context when scrolling across wide tables.

Managing Rows Per Page

At the bottom of every table, DataGrows shows:

  • How many records are displayed per page

  • The total number of records available

You can adjust the number of rows displayed per page to suit your preferences.

Why This Matters

Displaying fewer rows can:

  • Improve system responsiveness

  • Reduce loading times

  • Make navigation easier on slower internet connections

Displaying more rows can:

  • Reduce page changes

  • Improve visibility of larger datasets

  • Allow quicker review of information

Performance Tip

If you notice that a table is loading more slowly than usual, try reducing the number of rows displayed per page.

This often improves performance, particularly when working with large datasets.

Sorting Your Data

Sorting allows you to reorganise records based on the information that matters most to you.

Quick Sort

Most columns offer a one-click sorting option.

Clicking the column heading allows you to cycle through:

  1. Ascending Order (A–Z / Lowest to Highest)

  2. Descending Order (Z–A / Highest to Lowest)

  3. No Sort

Advanced Sorting

You can also use the column menu (three dots) to access sorting options directly.

This provides another quick way to:

  • Sort Ascending

  • Sort Descending

Examples

Sort tasks by:

  • Due Date

  • Priority

  • Assigned User

Sort clients by:

  • Client Name

  • Trading Name

  • Service Category

Best Practice: Sorting by due dates and priorities can help you identify urgent work quickly.

Reordering Columns

Not every user works the same way.

DataGrows allows you to rearrange your table columns so that the most important information appears exactly where you want it.

Drag and Drop Reordering

Simply:

  1. Click and hold a column heading.

  2. Drag it to the desired position.

  3. Release to save the new placement.

Example

If the Work in Progress field is particularly important to your role, you may wish to move it closer to the front of the table for easier access.

Using the Reorder Columns Tool

For more precise control, DataGrows also provides a Reorder Columns feature.

This allows you to:

  • View all columns in a single list

  • Move columns into preferred positions

  • Create a layout that suits your workflow

Example

You may decide that:

  • Client Name

  • Trading Name

  • Client Partner

should all appear together near the beginning of the table for quicker reference.

Once saved, your chosen layout becomes your preferred working view.

Tip: Grouping related fields together can make large tables much easier to navigate.

Personalising Your Workspace

The ability to customise your tables means that every user can create a workspace that works best for their role.

A tax administrator may prioritise:

  • Tax Type

  • Due Date

  • Status

An accountant may prioritise:

  • Client Name

  • Work in Progress

  • Assigned Task

A manager may prioritise:

  • Team Member

  • Task Status

  • Completion Percentage

There is no single "correct" layout—the goal is to create a view that helps you work faster and more effectively.
